RESERVATION POLICIES, MODIFICATIONS, AND CANCELLATIONS

Please read the following information carefully before booking your trip:

DETAILS NEEDED TO MAKE A TRAVEL RESERVATION

Before making a travel reservation, ensure you have all the required passenger details, including:

  • Full names and surnames
  • Passport or ID numbers
  • Nationalities and ages of all group members

If any group member is waiting for a new passport, please do not make the reservation until all information is available.

Additional services, such as hotel accommodations for an extra night in Aguas Calientes, must be requested before booking, as these details cannot be changed afterward. However, services like sleeping bag rental or special meal requests (e.g., vegetarian meals) can be modified up to 3 days before departure.

The name and passport number provided during the reservation process will be printed on your travel permit. Once issued, no changes can be made to the departure date, name, or passport number. Upon arrival at the Inca Trail checkpoint, government officials will verify your passport details. If they do not match the permit, you will not be allowed to start the trek.

ARRIVAL IN CUSCO BEFORE YOUR TRIP

For acclimatization purposes, we recommend arriving in Cusco at least 2 days before your trip departure. This will also allow you to complete the remaining payment at least one day before starting the tour. For better adaptation to altitude, arriving 3 days before is ideal.

PAYMENT OF TRIP DEPOSIT

Once we send you the reservation details and payment options, a 50% deposit of the total amount is required to confirm your booking.

After receiving the payment, we will send a confirmation voucher within 24 hours, detailing the services included in your reservation.

STUDENT DISCOUNTS

To qualify for a student discount, you must provide a valid student ID meeting the following criteria:

  • Issued by a recognized university
  • Displays university and student personal details
  • Includes a student photo
  • Has a validity date that does not exceed one year from your Machu Picchu visit

You must email a clear and legible scan of your student ID at the time of booking. If you fail to provide this document before confirmation, you will be charged the adult travel price. Carry your student ID throughout your trip, as government officials may request it at multiple checkpoints.

Note: Other forms of student identification that do not meet these criteria will not be accepted.

CHILDREN DISCOUNTS

Children under 16 years are eligible for a discount, depending on the program. To apply:

  • Send a scanned copy of your child’s passport (photo and birthdate page) at least 3 days before confirmation.
  • If this document is not received within the given time, the standard adult price will be applied.

SENDING DATA

Complete the “Reservation Data” or “Booking Details” form accurately. Reservations without full names, nationalities, ages, and passport numbers will not be accepted.

If you renew your passport after booking, you must either:

  • Provide your old passport number and carry both the old and new passports on the trip, or
  • Ensure your new passport includes your old passport number.

MODIFICATIONS

Changes to your reservation are subject to the following conditions:

  • More than 30 days before departure: No penalty
  • 15 to 30 days before departure: 20% penalty of the total amount
  • Less than 15 days before departure: 30% penalty of the total amount

Important for the Inca Trail:

  • You can modify your passport number up to 5 days before departure.

CANCELLATIONS

If you cancel your reservation, the following penalties apply:

General Tours:

  • More than 30 days before departure: 15% penalty (deposit and admin fees)
  • 10 to 30 days before departure: 20% penalty of the total amount
  • 2 to 9 days before departure: 50% penalty of the total amount

Inca Trail:

  • More than 30 days before departure: 50% penalty of the total amount
  • 15 to 30 days before departure: 70% penalty of the total amount
  • Less than 15 days before departure: 100% penalty of the total amount
